1. Introduction

AntForms ("we," "our," or "us") operates the form builder and related services at antforms.com and app.antforms.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information and the information of people who respond to forms you create. We are committed to transparency and to handling data in line with applicable law, including the GDPR where it applies. This policy does not constitute legal advice; you are responsible for obtaining your own advice to ensure your use of AntForms complies with the laws that apply to you.

2. Information We Collect

Account and usage (form creators)

When you sign up or use AntForms, we may collect:

  • Account information (e.g., name, email address, password)
  • Profile and workspace details you provide
  • Forms, questions, and settings you create
  • Responses and analytics data linked to your forms
  • Usage data (e.g., features used, actions taken) to improve the product

Respondents (people who fill out your forms)

Data submitted by respondents (answers, uploaded files, and any identifiers they provide) is processed on your behalf as a data processor. You are the data controller for that respondent data. You alone decide what questions to ask, what data to collect, and for what purposes. You are solely responsible for having a lawful basis and, where required by law, consent for that collection. We process respondent data only in accordance with your instructions and our Terms of Service and Data Processing terms. We do not determine the purposes or means of processing respondent data; you do. Any claim, complaint, or regulatory action arising from how you collect or use respondent data, or from your failure to comply with privacy laws (including GDPR, CCPA, or similar), is your sole responsibility. We are not liable for your compliance obligations or for respondent or regulator actions directed at you as controller.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the AntForms service
  • Store and display your forms and responses in your account
  • Send service-related communications (e.g., account, security, product updates)
  • Respond to support requests and feedback
  • Analyze usage to improve performance, security, and features
  • Comply with legal obligations and enforce our terms

4. Data Security

We implement technical and organizational measures that we consider appropriate to protect your data. Data in transit is encrypted using TLS. Data at rest is stored using industry-standard security practices. We do not sell your personal information or form responses to third parties for marketing. Access to data is limited to what is necessary to provide and improve the service.

No guarantee. While we strive to protect your data, we do not warrant or guarantee that our security measures will prevent all unauthorized access, loss, or disclosure. You use the Service at your own risk. Our obligations in this Privacy Policy are subject to the disclaimers and limitations of liability in our Terms of Service.

5. Your Rights (including GDPR)

Where applicable (e.g., under GDPR), you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Request restriction of processing
  • Data portability
  • Object to certain processing
  • Withdraw consent where processing is based on consent
  • Lodge a complaint with a supervisory authority

To exercise these rights, contact us at support@antforms.com. For respondent data collected via your forms, we will direct individuals to you as the data controller. We process that data only as your processor; we do not respond to respondent rights requests as controller for that data. We will assist you with processor-level support where contractually required (e.g., subprocessor details, security information). Any dispute between you and a respondent, or between you and a regulator, regarding respondent data is solely your responsibility.

6. Data Retention

We retain your account and form data for as long as your account is active or as needed to provide the service. You can delete forms and responses from your account. After account closure, we may retain certain data for a limited period for legal, security, or operational reasons, after which it is deleted or anonymized. We are not obligated to retain any data beyond what is required by law or our internal policies.

7. Cookies and Similar Technologies

We use cookies and similar technologies to operate the service (e.g., session management, preferences) and, where you have consented or we have a legitimate interest, for analytics. You can manage cookie preferences in your browser. Some features may not work correctly if cookies are disabled.

8. Third Parties and Integrations

When you connect AntForms to third-party services (e.g., Zapier, Google Sheets, email providers), data may be sent to those providers according to their privacy policies. You are responsible for the lawfulness of those transfers and for the third party's compliance. We use subprocessors to host and operate the service; they are bound by confidentiality and data protection commitments. A list of key subprocessors can be provided on request. We are not liable for the acts or omissions of third parties or subprocessors beyond our contractual obligations to you.

Google APIs and Google user data

If you use AntForms features that rely on Google sign-in, Google Workspace, Google Sheets, or other Google APIs, we receive and process Google user data only for the purposes disclosed when you grant access (and as described in our product). That may include, depending on what you authorize, identifiers such as your Google account email or profile information, and content or metadata needed to provide the integration (for example, to read or write spreadsheet data you connect).

With whom we share, transfer, or disclose Google user data. We do not sell Google user data. We share, transfer, or disclose Google user data only as follows:

  • AntForms - Authorized personnel and our systems use this data to provide, maintain, secure, and improve the features you enable.
  • Service providers (subprocessors) - We may transfer data to vendors that host or operate our infrastructure or provide services on our behalf (for example, cloud hosting), subject to confidentiality and data-processing terms. They process Google user data only as instructed by us to provide the Service.
  • Google - When you use an integration that reads from or writes to Google services (such as Google Sheets), data flows between AntForms and Google as needed to perform that integration. Google processes such data under your Google account and Google's policies, in addition to this policy.
  • Other integrations you enable - If you connect tools (for example, automation platforms) that send data outside AntForms, those transfers are made to the providers you choose, under their terms.
  • Legal requirements - We may disclose information if required by applicable law, regulation, legal process, or governmental request, or to protect the rights, safety, and security of our users, the Service, or others.

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

9. International Transfers

Your data may be processed in countries outside your residence. Where we transfer data from the EEA or UK, we use appropriate safeguards (e.g., standard contractual clauses or adequacy decisions) as required by applicable law. We do not guarantee that every jurisdiction will recognize such safeguards; you use the Service in light of that understanding.

10. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, ANTFORMS, ITS AFFILIATES, AND ITS AND THEIR OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, FOUNDERS, AND LICENSORS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, GOODWILL, OR BUSINESS OPPORTUNITY, ARISING FROM OR RELATED TO THIS PRIVACY POLICY, YOUR USE OF THE SERVICE, OR ANY DATA PRACTICES DESCRIBED HEREIN. OUR TOTAL AGGREGATE LIABILITY FOR ANY CLAIMS ARISING OUT OF OR RELATED TO THIS PRIVACY POLICY OR THE SUBJECT MATTER HEREOF SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM (OR ONE HUNDRED US DOLLARS (USD $100), WHICHEVER IS GREATER). THESE LIMITATIONS APPLY EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. NOTHING IN THIS PRIVACY POLICY EXCLUDES OR LIMITS LIABILITY THAT CANNOT BE EXCLUDED OR LIMITED UNDER APPLICABLE LAW. THE TERMS OF SERVICE CONTAIN ADDITIONAL DISCLAIMERS AND LIMITATIONS OF LIABILITY THAT APPLY TO YOUR USE OF THE SERVICE.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and, for material changes, we will notify you via the service or by email. Your continued use of AntForms after the effective date constitutes acceptance of the updated policy. If you do not agree, you must stop using the Service and close your account.
